US Roller Cup (USRC) runs roller hockey tournaments, and usrollercup.com is how we run them: registration, rosters, waivers, schedules, live scores and stats. This page explains, in plain language, what information the site keeps, why, and who sees it. It describes how the site actually works; it isn't legal advice. Questions or requests go to jake@usrollercup.com.

What we collect

Your account and profile. Your name and email address, and anything you choose to add: phone number, city and state, birthdate, position, a photo, a short bio and links to your social accounts. Signing in uses an emailed link or a password you set (we store only a scrambled version of the password).

Teams and tournaments. The teams you play for or manage, your jersey number and position, game results, goals, assists and penalties, awards, and your player level, which we work out from your USRC history. Some of that history came over from our previous scoring site, Hockeyshift.

Waivers. When you sign a waiver we keep the signer's name and birthdate, whether the player is a minor, the parent or guardian's name and relationship for minors, the time it was signed, and the internet address and browser it was signed from. Paper waivers signed at the rink are recorded by staff.

Payments. Team registration fees and store orders are paid through Stripe or PayPal (including Venmo). You enter your card or account details on their pages, never ours, so we never see or store full card numbers. We keep what we need for our records: amounts, dates, the payment reference, and for a saved card only a label like "Visa ending 4242". If you choose to pay a deposit and let us charge the balance later, Stripe keeps the card on file and we charge it on the due date you agreed to.

Officials and staff. If you apply to referee or keep score, we keep your application (contact details, experience, availability). For officials we work with, we also keep game assignments, check-ins, what you've earned and been paid, your preferred pay method and handle (for example a Venmo username), and whether we have your W-9. We don't store Social Security or tax ID numbers on the site.

Other forms. Free agent posts, media and photographer applications, vendor orders, and incident reports filed by officials. Incident reports are visible only to USRC staff and that game's officials.

Emails we send. We keep a record of the messages we send you (subject, content, and whether it was delivered) so we can troubleshoot and avoid duplicates.

Why we use it

To run our events: registering teams, building rosters, checking eligibility and player levels, collecting waivers and payments, scheduling games and officials, paying officials, posting scores and stats, and sending you updates about events you're part of. We don't sell your information, and we don't use it for advertising.

What's public

Rosters, schedules, scores and stats are public, because that's what a tournament site is for. Your player profile (photo, hometown, position, bio, stats and level) is public by default. You can turn off Public profile on your My profile page to hide it; your name will still appear on rosters and scoresheets. Your email, phone number and birthdate are never shown publicly.

If you message a free agent or a team through the site, your email address is shared with them so they can reply.

Game broadcasts

USRC games may be livestreamed and recorded on the USRC YouTube channel, and links to the stream or replay appear on game pages. Players, officials and spectators at the rink may appear in those videos. If you have a concern about a specific video, email us.

Our broadcast tool uses YouTube API Services only to manage USRC's own channel, for example to create a broadcast for each game. It does not access any information about people who watch our videos. YouTube is run by Google; see the Google Privacy Policy and the YouTube Terms of Service.

Who we share it with

Only the services that run the site for us, and only what each one needs:

  • Cloudflare hosts the site and its database and stores uploaded photos.
  • Stripe and PayPal process payments.
  • Amazon Web Services (Amazon SES) delivers our emails.
  • Google Fonts serves the site's lettering, so your browser connects to Google when pages load.
  • YouTube (Google) plays our livestreams. We embed them in YouTube's privacy-enhanced mode.
  • If you turn on game alerts, your browser's own notification service (from Google, Mozilla or Apple) delivers them.

Team captains and managers see the roster information for their teams. We may also share information if the law requires it.

Cookies

We use a small number of cookies, only to make the site work: one keeps you signed in, and others remember scorekeeper access and a couple of settings. If you follow a team, your browser remembers that on your device. We don't use advertising or tracking cookies, and we don't run analytics tools that track you across the web.

How long we keep it

We keep tournament records (rosters, results, stats and awards) as part of USRC's history. We keep waivers, payment records and officials' pay records as long as we need them for insurance, accounting and tax purposes. We keep the rest of your account information while your account is active.

Your choices

You can update your profile, change your photo or hide your profile at any time from My profile. To correct anything else, or to ask us to delete your account and the personal details attached to it, email jake@usrollercup.com. We'll take care of it, except for records we need to keep (such as signed waivers, payment records and game results, where we can remove your contact details but not the record itself).

For players under 18, a parent or guardian signs the waiver and can contact us about the player's information at any time.

Changes

If we change how we handle your information, we'll update this page and the date at the top.
